Acer Ecology is an ecological and wildlife consultancy based in Cardiff Bay, Cardiff. We provide a full range of ecological, wildlife and protected species surveys.

What Will I Be Doing?

Main requirements of the role: Running the day-to-day administration of the office, including book-keeping, diary management, filing, customer contact, marketing and improving efficiency in such processes.

Duties and Responsibilities

  • First point of telephone contact, answering telephone enquiries & dealing with and resolving g enquiries. Redirecting calls as appropriate.
  • Arranging company post – incoming & outgoing
  • Be conversant with the company services
  • Giving feedback on office efficiency and suggesting possible improvements
  • Management of Enquiries E-mail Address
  • Managing the main Acer Ecology e-mail account including responding to new email enquiries and forwarding e-mails onto relevant staff members

Administration Tasks (Tendering & Other Sales Related Tasks)

  • Prepare tenders & quotations etc for new projects
  • Maintaining and updating client/workflow database
  • Maintaining work list and jobs database
  • Invoicing clients using Xero
  • Chasing late invoices and debtors
  • Reconciling accounts, sub-contractor invoicing and staff mileage payments
  • Administrating staff expenses
  • Monthly journal

Marketing Tasks

  • Building relationships with clients about our services;
  • Develop and contribute to marketing plans and strategies
  • Oversee all aspects of promoting the business and finding new clients.
  • Developing marketing ideas and promotional plans to increase the company’s brand awareness
  • Developing and implementing ideas for sales opportunities to include customer research, sales calls and appointment making
  • Managing the company website, including regular updates and content development
  • Using google analytics to assess website performance
  • Assisting with the copy writing of marketing materials
  • Managing the production of marketing materials, including leaflets, posters, flyers, newsletters and e-newsletters
  • Writing regular blog posts
  • Managing social media accounts (Twitter, Linked In, Instagram, Facebook etc), including daily monitoring, posting and content development

Other Tasks

  • Any other reasonable tasks as requested by manager

  • Very well organised with the ability to prioritise work in an efficient manner

  • Very good level of numeracy and English literacy/articulation/pronunciation;
  • Excellent telephone manner and customer service skills
  • Excellent business administration skills
  • Good IT skills – including use of word, excel, access and email
  • Strong and confident communicator
  • Excellent organisational, written and communication skills
  • Enthusiastic, self-motivated and strong desire to succeed
  • Ability to prioritise own workload and work to deadlines
  • Ability to work within a busy and demanding team environment
  • Able to work with minimum amount of supervision and on own initiative

Marketing/Blogging/Website Maintenance/Social Media Skills

  • Experience of using wordpress
  • Ability to work independently and as part of a team
  • Design skills including graphics and web design
  • Demonstrable interest in social media and its marketing applications
  • Knowledge of a wide range of marketing techniques and concepts
  • Excellent copywriting skills and experience

Desired Skills 

  • An interest in ecology and the environment is desirable but not essential.
